Privacy policy.
Last updated 22 October 2026. Covers the HKIDA website and mobile app.
Who we are
The Hong Kong Indian Diamond Association (“HKIDA”, “we”) runs this website and the HKIDA mobile app. We are the data user for the personal data described here, under the Personal Data (Privacy) Ordinance (Cap. 486).
What we collect
We collect only what we need to run the Association and its services:
- Membership applications and profiles: company details, names, contact details, and the business and identity documents the membership rules require.
- Accounts: your email address and sign-in details. Passwords are never shown to staff.
- Events: the names, contact details, ages, meal and travel choices and seating of the people you register.
- SourceDirect: the stock you upload and the buy or sell requirements you post, with your company contact details so other members can reach you.
- Enquiries and applications: what you send through our contact, feedback, ticket and advertising forms.
How we use it
- To assess membership applications and keep the member register.
- To run events, SourceDirect, elections and committee business.
- To send circulars, event notices and service emails to members.
- To answer enquiries and keep our services secure.
Who can see it
Member details in the directory and on SourceDirect are visible to other signed-in members. Identity and business documents are visible only to authorised Secretariat and committee staff. We do not sell personal data.
We use service providers for hosting and email, who process data only on our instructions.
Cookies
The website uses one essential cookie to keep you signed in. It is deleted when you sign out or after 24 hours. We do not use advertising cookies.
The mobile app
The app uses the same account and data as the website. It asks for storage access only when you choose a file to upload, and for notifications only to send Association notices. You can turn either off in your phone’s settings.
How long we keep it
We keep member records while you are a member and for as long afterwards as our rules and the law require. Event registrations and enquiries are kept for up to two years.
Security
Data is sent over encrypted connections and access is limited to people who need it. No system is perfectly secure; please keep your password private and tell us if you suspect misuse.
Your rights
You may ask to see or correct the personal data we hold about you. Write to the Data Protection Officer at info@hkida.net or at the address below. We may charge a reasonable fee for a data access request, as the Ordinance allows.
Children
Our services are for businesses and their staff. We collect children’s details only when a member registers family for an event.
